1. Information We Collect
Account Information: When you register or are invited, we collect your full name, email address, phone number, and assigned restaurant location. If you sign in using Sign in with Apple, we receive the name and email address you authorize Apple to share with us.
Profile & Role Data: We store your job role (employee, manager, or admin), location assignment, and any feature permissions set by your restaurant's management.
Restaurant / Tenant Data: For restaurant owners who register their organization, we collect the restaurant name, owner contact details, number of locations, and city. This information is used solely to configure and operate your restaurant's tenant account.
Operational Data: Information you enter while using the platform, including shift checklists, peer reviews, credibility votes, cashflow entries, inventory records, item exchange requests, vendor orders, invoices, paystubs, and team messages.
Usage Logs: We may collect timestamps of actions (e.g., checklist submissions, approvals, logins) for audit and accountability purposes.
Photos & Files: If you upload photos (e.g., item exchange photos, receipts), those files are stored securely in our cloud storage.
2. How We Use Your Information
- Operate and manage the Restro Ops platform across all tenant restaurants
- Authenticate your identity and control access to features based on your role
- Process Sign in with Apple authentication and link accounts to the correct tenant
- Track operational tasks such as shift checklists, inventory levels, and item exchanges
- Send email and in-app notifications for shift reminders, exchange due dates, and system alerts
- Generate payroll summaries and pay stubs for employees
- Process restaurant owner registrations and onboarding requests
- Process employee signup requests and location-change approvals
- Conduct peer performance reviews and track employee credibility scores
- Create audit logs to ensure data accuracy and accountability
- Improve the platform's features and performance
3. Subscriptions & In-App Purchases
Subscription Plans: Restro Ops offers two organization subscription plans for restaurant owners and admins:
- Monthly Plan: $49.99 per month, billed monthly. Cancel anytime.
- Yearly Plan: $599.99 per year (equivalent to 14 months of service — you pay for 12 months and receive 2 bonus months free). Billed once annually.
Who Subscribes: Subscriptions are for organization owners and admins only. Employees and managers invited to an existing organization join for free and do not require a subscription.
Billing: Subscription payments are handled manually through our team at Nexus App Lab after you submit a registration request. We will contact you to process payment before activating your account.
Cancellation: You may cancel your subscription at any time by contacting us at info@nexusapplab.com. Access continues until the end of the current billing period.
Refunds: We handle refund requests on a case-by-case basis. Contact info@nexusapplab.com within 14 days of a charge if you believe you were billed in error.
Price Changes: We will notify you at least 30 days in advance of any subscription price changes.
4. Sign in with Apple
Restro Ops supports Sign in with Apple as an authentication method on iOS and web. When you use Sign in with Apple:
- Apple provides us with a unique identifier and the email address or Apple-generated relay email you choose to share.
- We use this information solely to create or link your account — we do not use it for marketing.
- If you sign in with Apple but your email is not associated with any registered organization on Restro Ops, you will be shown a message on the landing page explaining that you must register your organization or be invited by your organization's admin before accessing the platform.
- If your Apple email matches an approved organization owner or invited employee/manager, you will be directed to your dashboard automatically.
- We do not request or store your Apple ID credentials. Authentication is handled entirely by Apple.
To revoke Restro Ops' access to your Apple ID, go to Settings → [Your Name] → Password & Security → Apps Using Apple ID and remove Restro Ops. Your Restro Ops account data will remain; contact us to delete it.
5. Multi-Tenant Data Isolation
Tenant Separation: Each restaurant organization (tenant) operates in its own isolated environment. Your data is only accessible to users within your restaurant organization — it is not shared with or visible to other restaurant tenants.
Administrators & Managers: Admins and managers at your assigned location can view your profile data, shift records, peer reviews, credibility scores, and operational entries you submit within your organization.
Coworkers: Some features — such as peer review ratings and credibility votes — are visible to other employees at your location in aggregate form. Individual votes are not publicly attributed by name.
Cross-Location Data: Item exchange records are visible to managers at both the sending and receiving locations involved in a transaction, within the same restaurant organization only.
No Third-Party Sale: We do not sell, rent, or trade your personal information to any third parties.
6. Data Security
We use industry-standard safeguards to protect your data, including:
- Encrypted data transmission (HTTPS/TLS) for all platform communications
- Secure, cloud-hosted database infrastructure with access controls
- Tenant-level isolation ensuring one restaurant cannot access another's data
- Role-based access controls ensuring employees only see data relevant to their position
- Session management and authentication tokens that expire automatically
Despite these measures, no system is 100% secure. Please keep your login credentials confidential and report any suspected security concerns to info@nexusapplab.com.
7. Notifications & Communications
By using the platform and providing your contact information, you consent to receive operational notifications including:
- Shift checklist reminders and submission confirmations
- Item exchange due-date alerts and return reminders
- Signup request approval or rejection notices
- Payroll and pay stub availability notifications
- Low inventory stock alerts (for applicable roles)
- System-wide announcements from your restaurant's management
- Subscription activation and billing confirmations (for organization owners)
You can adjust your notification preferences in your Profile → Notifications settings.
8. Data Retention
We retain your personal data and operational records for as long as your association with your restaurant organization continues, and for a reasonable period after separation (typically up to 2 years) for auditing, payroll, and legal compliance purposes.
If a restaurant owner requests their organization be removed from the platform, all associated tenant data will be deleted or anonymized within a reasonable timeframe, except where retention is required by law.
If you request personal account deletion, your personally identifiable information will be anonymized or removed, except where retention is required for financial record-keeping.
9. Your Rights
As a Restro Ops user, you have the right to:
- Access your personal data stored in the platform via your Profile page
- Request corrections to inaccurate personal information
- Request a copy of your data by contacting us at info@nexusapplab.com
- Request account deletion — your manager or admin will process this within a reasonable timeframe
- Opt out of non-essential notifications via your Profile settings
- Restaurant owners may request full tenant data deletion by contacting us directly
- Revoke Sign in with Apple access at any time via Apple ID settings
10. Children's Privacy
Restro Ops is intended for use by adults and working-age employees (typically 16 years or older) in a professional restaurant environment. We do not knowingly collect personal information from children under the age of 13. If you believe a child has provided personal information without parental consent, please contact us at info@nexusapplab.com and we will promptly delete that information.
11. Cookies & Local Storage
The Restro Ops platform uses browser session tokens and local storage to maintain your authenticated session. No third-party advertising cookies are used. You may clear your browser storage at any time, which will log you out of the platform.
12. Third-Party Services
Restro Ops uses the following third-party services to operate the platform:
- Authentication infrastructure (including Sign in with Apple) — for secure account login
- Cloud database and storage providers — for secure data hosting
- Email delivery services — for operational notifications
We do not share your personal information with these third parties beyond what is necessary to operate the platform, and we do not use them for advertising purposes.
13. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we make significant changes, we will notify users via email or an in-app notice. The "Last Updated" date at the top reflects when the policy was most recently revised. Continued use of the platform after any update constitutes acceptance of the revised policy.
